Refill, Cancel and Speed-Up Requests: How to Handle Them Automatically

These three request types make up most order support. Here are the rules that keep automation accurate and your providers happy.

Refill, cancel and speed-up requests are the backbone of SMM panel order support. Each one follows a simple rule set, which makes them ideal for automation. Here is how to do it well.

Speed-up requests

A speed-up request only makes sense while an order is still being processed.

  • Pending or in progress: accept the request and forward it to the provider.
  • Completed or canceled: politely explain that the order cannot be sped up.

Forward the request using the provider's own order ID, not your panel's ID, because that is what the provider can find.

Cancel and refund requests

Cancel requests follow the same logic:

  • Orders that are pending or in progress can be sent for cancellation.
  • Orders that are completed cannot, and orders already canceled or partially refunded should get a clear reply instead of a second request.

Always confirm the status through the panel before sending anything. A cancel request on a completed order wastes the provider's time and confuses the customer.

Refill requests

Refill depends on two things: the order must be completed, and the service must offer a refill guarantee. When a service has no refill, say so clearly and explain what the customer can do instead.

Provider dispatch

Many panels send these requests to the provider through a Telegram group or a WhatsApp contact. Automating this means the bot posts a short command such as the provider's order ID followed by the action, in the right group for that provider. Mapping each provider to its own group avoids requests landing in the wrong place.

Escalate repeated reports

If the same order is reported again and again, it is usually stuck. A useful rule is to flag any order reported more than three times as urgent and mark the message to the provider as an emergency, so it is seen first.

Never act on someone else's order

Every action should pass an ownership check. The order must belong to the verified customer, otherwise the bot should refuse. Learn how verification works.

Put it together

With ticket auto-reply, a Telegram bot and a WhatsApp bot all using the same rules, a customer gets the same correct answer wherever they ask. Accesza handles the order lookups, the rules and the provider dispatch for you. Explore the capabilities.
